Our Mission is to promote and protect the Health and Safety of Our Community. Our department has a primary responsibility to help address the basic health and wellness of Deschutes County residents. The department offers services at more than 40 locations in Deschutes County including public schools; health clinics in Bend, La Pine, Redmond and Sisters; five school-based health clinics; agencies such as the KIDS Center and the State of Oregon Department of Human Services; area hospitals; care facilities and homes.

ABOUT THE JOB:
The Administrative Support Specialist will support the Clinical & Family Services Manager and programs. The Clinical & Family Services Program encompasses Maternal-Child Nurse Home Visiting, Perinatal Care Coordination, the Women Infants Children (WIC) program, and the reproductive health clinics. This position is responsible for independently carrying out a variety of high-level administrative, technical, secretarial and clerical work activities, often of a confidential or sensitive nature. Within a team-based environment, incumbent will manage a wide variety of projects, manage client referrals, materials and surveys, create and maintain databases, manage and track program purchasing, track, create and provide ongoing reports to management, capture notes and action points from meetings, handle materials or correspondence which may be sensitive and complex in nature, and provide support to programs as assigned.
This position is located in Deschutes County and may be eligible for some remote work as allowed by policy and approved by the supervisor.
Key Responsibilities:
- Administrative support to Program Manager and programs.
- Referral coordination and management.
- Data management.
What You Will Bring:
Knowledge of or experience with:
- General office procedures and methods.
- Modern office equipment and software including word processing, spreadsheets, databases, and electronic mail.
- HIPAA requirements related to client health records.
Skill in:
- Organization and management of services.
- Electronic Health Records (EHR) system registration, data entry and reporting.
- Effective communication.
- Independent work of various tasks and priorities.
- Accuracy of data entry and review of complex public records.
- Establishing and maintaining cooperative working relationships with co-workers.

Compensation
$4,198.90 To $5,626.92 per month for a 172.67 hour work month. Excellent County benefit package when eligible. This union-represented position is available immediately.

Minimum Qualifications
- High school diploma or GED equivalent;
- AND four (4) years of administrative support experience;
- OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the job.
Preferred Qualifications :
- Experience working with an EHR such as EPIC/OCHIN, THEO or Salesforce.
Necessary Special Requirements
The employment offer will be contingent upon pre-employment screening for criminal history and controlled substances (NOTE: Positive test results for marijuana use may result in rescission of a contingent offer of employment). These screenings must be completed with satisfactory findings in order for a formal offer of employment to be extended.
